Terms of use
These terms cover your use of Axcelink, a human resources and payroll platform for Philippine employers. They apply from the moment you create an account.
In these terms, we means AXCELA SOFTWARE DEVELOPMENT SERVICES, and you means the company that signed up — not the individual employees whose records it holds.
1. Your account
Whoever signs up becomes the account owner and can add other users and set what each of them may see. Accounts are for the company, not for a person: if the owner leaves, the company keeps the account.
You are responsible for what happens under your account, including actions by the users you invite. Keep sign-in credentials to the person they were issued to — every action is recorded against a user, and a shared login makes that record useless to you.
2. Free trial
New accounts start on a free trial. Trial length depends on the plan chosen at signup and is shown before you confirm — currently Starter 5 days, Standard 10 days, Premium 15 days, Enterprise 30 days.
Nothing is charged during a trial and no card is taken. We will email you before it ends. If you do not start a paid subscription, access narrows when the trial expires — your data stays and becomes reachable again as soon as you subscribe.
3. Subscriptions, payment and renewal
Plans are billed in Philippine pesos, monthly or yearly, in advance. A plan includes a number of employees; headcount above that is charged per employee at the rate shown on the pricing page. Prices shown include VAT where applicable.
Payments are handled by PayMongo. We do not receive or store your card number — it is entered on PayMongo’s own payment page.
Subscriptions do not renew themselves. We email you before a term ends and you renew from the billing page. If a term lapses, access narrows in the same way as an expired trial until you renew.
Changing plan mid-term is charged pro rata: you pay for the remainder of the term at the new rate, less credit for the part of the old term you have not used. The exact amount is shown before you confirm.
4. Cancellation and refunds
You can cancel at any time from the billing page. Cancelling stops the next renewal; it does not end the term you have already paid for, and you keep access until that term runs out.
Payments already made are non-refundable except where Philippine consumer law requires otherwise, or where we have failed to provide the service and cannot put it right. If you think you have been charged in error, contact us — we would rather fix it than argue about it.
5. Your data
The employee records, payroll figures and documents you put into Axcelink remain yours. We process them to run the service for you and for no other purpose — we do not sell them, and we do not use them to train anything.
You can export your data while your account is active. If you close your account, tell us and we will remove it, subject to the retention periods described in the privacy policy. Some payroll records must be retained for a period set by Philippine law even after an account closes, and that obligation sits with you as the employer.
6. What you are responsible for
You are the employer of the people whose records you hold, and the controller of their personal data. That means it is on you to have a lawful basis for holding it, to tell your staff you are using a system like this, and to keep what you enter accurate.
Axcelink calculates payroll and produces government reports from the figures you provide. Those figures, and the filings you make from them, remain your responsibility. We keep the statutory tables current and will correct errors we find, but a computed result is not professional tax or legal advice and should be reviewed before filing.
Do not use the service to hold data you have no right to hold, or in a way that breaks Philippine law.
7. Availability and support
We aim to keep the service running continuously, and will give notice of planned maintenance where we reasonably can. We do not promise uninterrupted availability, and we are not liable for downtime caused by something outside our control.
Support is by email and through the in-app support page. We will tell you plainly when something is broken rather than leave you guessing.
8. Liability
Nothing in these terms limits liability for death, personal injury, or fraud, or anything else that cannot lawfully be limited.
Otherwise, our total liability to you for any claim is limited to the amount you paid us in the twelve months before the claim arose. We are not liable for lost profits, lost business, or indirect losses.
9. Changes to these terms
We may update these terms. If a change materially affects you we will email the account owner before it takes effect, and the date at the top of this page always reflects the current version. Continuing to use the service after a change means you accept it.
10. Governing law and contact
These terms are governed by the laws of the Republic of the Philippines, and the courts of the Philippines have jurisdiction over any dispute.

Trial lengths, renewal behaviour and proration above describe how the software actually works today, not an aspiration. If any of it stops being true, this page is wrong and should be corrected.
Self-serve signups default to a 15-day trial.
If anything here is unclear, ask us before you agree to it rather than after. We would rather explain a clause than enforce one somebody did not understand.
